Job description
We are seeking a dedicated and proactive Personal Assistant to support our Executive Director. This position involves working closely with our Executive Director to provide comprehensive administrative support. Must be experienced in the architecture field and must have knowledge of NYC Department of Buildings codes and zoning. This is a full-time, in person position.
Responsibilities
- Assist in reviewing project documents for Department of Building approvals, ensuring accuracy and completeness.
- Serve as the primary point of contact for the Executive director.
- Coordinate and schedule calendar appointments.
- Manage all incoming and outgoing communications.
- Draft and prepare correspondence and other documents.
- Maintain organized filing systems, both physical and digital.
- Assist with personal tasks and errands as needed.
Qualifications
- Proven experience as a Personal Assistant or similar role in the architecture field.
- Must have knowledge of NYC Department of Buildings code and zoning. (Energy code, zoning, ADA, etc)
- Proficiency in AutoCAD, Revit and other relevant software.
- Ability to handle multiple tasks while staying organized.
- Excellent communication and interpersonal skills.
- Discretion and confidentiality in handling sensitive information.
- Associate or Bachelor’s degree in Architecture, Drafting, or related field preferred.
- Legally eligible to work in the United States without the need for employee sponsorship.
