NYC based interior designer is seeking an Office Manager/EA to the Principal.
The role requires exceptional organizational and time management skills. This
is an administrative role (non-creative) and requires the ability to handle a
wide range of administrative and personal tasks with efficiency and
professionalism. The ideal candidate is highly detail oriented, proactive, well
organized and able to manage time effectively to support seamless
operations, even while off-site.
Responsibilities:
-Manage and maintain the Principal’s calendar, including scheduling meetings,
appointments, and travel arrangements.
-Coordinate internal and external communications on behalf of the Principal,
including phone calls, emails, and correspondence with vendors and clients.
-Assisting in the client’s procurement/billing process. Including but not limited
to: obtaining quotes from vendors, placing orders and invoicing clients.
-Manage finances in Quickbooks including monthly reconciliations and
reporting to the CPA for tax filings.
-Assist with office management duties such as maintaining office supplies,
and filing systems, and ensuring the office runs smoothly.
-Liaise between the Principal and the outside support teams (Social Media,
Marketing, PR, etc)
Qualifications:
-A minimum of 5 year experience in office management or executive assistant role in the design industry
-Self-motivated, autonomous, highly organized and intuitive.
-Strong organizational and time-management skills, with the ability to
prioritize tasks independently.
-Excellent written and verbal communication skills.
-Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
-Proficiency in Quickbooks
-Ability to adapt quickly to changing priorities and handle multiple tasks with
efficiency.
This position is part-time (estimated 20 hrs/wk) in person at our UES studio.
$40/hour (1099 employee).
