Office & Executive Coordinator - Full Time, On Site, Monday through Friday 9.30am to 6pm.

The ideal candidate should be comfortable answering a high volume of inbound phone calls and email inquiries while also providing high-level support to executives and company principals. They should effectively coordinate meetings and other office events while maintaining a tidy, well stocked, and welcoming workspace. They should be well-versed with troubleshooting IT issues in coordination with our off-site IT vendor. Most importantly, they should possess a friendly demeanor so they can effectively interact with staff, principals and office visitors.

Primary Responsibilities:
• Act as primary point of contact for incoming calls/visitors
• Provide executive support including booking transport & accommodation, ordering lunches, and scheduling appointments
• Manage magazine archive and active subscriptions
• Maintain inventory of office supplies, tech equipment etc., and place orders in accordance with Agency purchasing policies and budgets
• Oversee the condition, maintenance and repair of office equipment, including phones, copier, mail machine etc.
• Support staff in troubleshooting IT issues, liaise with third party tech support partners
• Liaise with building management for repairs, cleaning and maintenance
• Coordinate inbound and outbound office mail
• Provide support organizing & preparing tech equipment for client events, conference room setup, catering etc.
• Provide backup support to the Logistics/Showroom Coordinator
• Conduct facilities onboarding/offboarding of staff, interns and freelancers
• Ensure office is organized and presentable at all times including plants, magazines and storage
• Maintain and update the company internal Wiki
• Assist the operations and client teams, as well as the company principals, with ad hoc projects as needed

Qualifications:
• Friendly and upbeat demeanor
• Able to manage multiple projects at a time, prioritize and follow-through on assignments
• 1-3 years of administrative and clerical experience
• Effective verbal and written communication and listening skills
• Ability to work independently with minimal direction, highly motivated and organized
• Ability to develop and maintain effective working relationships with staff, clients and vendors
• Proficient with basic computer and IT skills (Google Workspace, Mac OS, Microsoft Office)
• Must be available to work full time, on site at our offices in New York City (Monday through Friday from 9:30am to 6pm)

Salary Range:
• $50,000-$55,000 per year
