The Greater New York Al-Anon Family Intergroup (“Intergroup”) seeks a part-time Office Manager to oversee the day-to-day activities of our organization. Intergroup is New York City’s Al-Anon Information Service (AIS) and Literature Distribution Center (LDC).

Al-Anon is an anonymous fellowship of relatives and friends of alcoholics who share their experience, strength, and hope in order to solve their common problems. Intergroup is a 501(c)3 non-profit organization that often serves as first contact to people interested in participating in Al-Anon / Alateen meetings. We do this by:

* maintaining a listing of all Al-Anon / Alateen meetings in New York City;
* operating a helpline for people seeking more information about Al-Anon/Alateen;
* coordinating public outreach and speaker referrals to hospitals, schools, treatment centers, and correctional facilities;
* connecting the hundreds of local groups to each other; and
* running a physical and online Al-Anon bookshop.

The right candidate for office manager will be someone with a demonstrated ability to work well independently and also with others at all levels. Our organization is primarily run by volunteers, and we expect that our office manager will be able to oversee volunteer activities in and out of the office.

In addition, the office manager will operate the online and physical bookstore; therefore, courtesy, kindness, and experience with customer care and support are critical.

This role will be accountable to the membership and entire all-volunteer board, and will be directly supervised by the Vice President of the board.

RESPONSIBILITIES

* Handle day-to-day Al-Anon Intergroup communications via email and phone
* Operate the online and physical bookshop, handling transactions in the shop, restocking literature as needed and being available to hand off pickup orders
* Maintain cleanliness and presentation of the office space and coordinate resolution of issues with the building management as needed
* Create and send out email blasts via MailChimp
* Update our website (currently on SquareSpace)
* Coordinate volunteer activity in and out of the office
* Attend monthly board meetings and quarterly gatherings of the larger group of representatives from our community
* Work with our bookkeeper and volunteer Treasurer to support the tracking of donations, deposit checks and cash at the bank, and send donation acknowledgments to donors
* Light filing and various small administrative tasks

QUALIFICATIONS

* Demonstrated ability to communicate effectively, confidentially, and with courtesy both verbally and in writing
* Experience working independently
* Attention to detail and outstanding organizational skills
* Ability to update a website
* Working proficiency with Microsoft Excel, Word, Outlook, QuickBooks Online, and Google Suite
* Prior customer-facing experience
* Prior experience coordinating volunteers
* Experience documenting workflows and sharing

Bonus points if you have:
* familiarity with Al-Anon Family Groups or other Twelve-step program principles;
* prior experience working with ecommerce solutions such as Squarespace, Shipstation, Shopify, BigCommerce, Mailchimp, and Woocommerce; and
* experience and patience working in communities with varying levels of tech literacy.

THE INTERVIEW PROCESS

Step 1: The Screen - you will meet with the hiring manager (our Vice President) for an initial discussion about the role. (30 mins - over Zoom)

Step 2: The Alignment Interviews - you will meet with another board member and our treasurer, and also one of our volunteers, respectively to learn more about the role and responsibilities (2 X 45 mins - over Zoom)

Step 3: The Final Interviews - If we feel you may be the right fit, we will invite you to come into our office in midtown for a final discussion with the Vice President. (~1 hour)

COMPENSATION

This role is 4 days a week, onsite. We plan to be open from 12:30pm to 5pm on Monday, Tuesday, and Friday, and late hours 2-7 on Thursdays. The hourly rate is $25-$35/hr depending on experience.
