Who you work with: You’ll report directly to PORTA’s co-founders, Alice Russotti and Francesca del Balzo, and collaborate closely with the Lead Buyer, Operations Manager, the internal merchandising and planning team, the Store Manager, Marketing Associate, and the PORTA warehouse team.
Location and timing: This is a maternity leave coverage position running from April 1 through September 30, 2026. Located in New York, NY. It is a full time position to cover a maternity leave so working hours would be standard 40-45 hours a week.
Orders & Product
○ Prepare and send all product purchase orders to international and domestic vendors.
○ As items are identified for ordering, enter the relevant information into the internal Active Orders sheet.
○ Create product pages for all new products in Shopify, ensuring all material, care, specifications, SKUs and costing information is accurately entered.
○ Input POs into the Shopify system so that incoming information reflects what is currently on order, allowing the warehouse to plan receiving and ensuring inventory is accurately tracked upon arrival.
○ Update production timing and payment schedules for each vendor on the buy plan.
○ Oversee and maintain live products and collections, ensuring information is up to date.
○ Liaise with the finance team on the timely payment of order deposits and balances.
○ Track production progress to ensure timelines are met and maintain ongoing communication with all relevant partners to address updates, delays, or issues promptly.
○ Once the product is ready, coordinate with shipping agents to obtain quotes for review. After approval, work with both the agent and the vendor to arrange collection and shipment of the products.
○ Liaise with the warehouse to provide updates on expected deliveries by maintaining the internal Incoming Product document with orders that are being prepared for shipment or are in transit.
○ Review and remove out of stock product / reactivate products before restock on the
website.
○ Work with the Lead Buyer to identify low-stock products and ensure restocks are ordered promptly to maintain inventory levels.
Inventory
○ Attend bi-weekly meetings with the Porta warehouse team to review incoming deliveries, shop transfers, and packaging inventory, and to address schedule updates, shipping, and operational issues.
○ Prepare inventory spreadsheets and reports for quarterly Cycle Counts.
Planning
○ Assist founders with the identification, outreach and communication around product
collaborations.
○ Research products for inclusion in future seasons, logging and maintaining slides and sheets related to these seasons for easy reference.
○ Request price lists, catalogues, and production timelines to compile information for reference on new and existing vendors.
○ Update and maintain the Porta On Order document referenced by the PR team to plan upcoming launches and initiatives.
○ Update and maintain the Product Shot list for upcoming photoshoots, ensuring all new styles and inventory are included.
Minimum Requirements
○ 3-year relevant experience in a high-growth company in the areas of design, home,
fashion.
○ Bachelor’s degree or equivalent work experience
○ Must be 18 years of age or older
○ Skilled in Shopify, Excel, Google suite
○ A proven ability to execute with consistent delivery and reprioritize in a fast-paced,
ever-changing environment, strong problem-solving skills and a positive attitude under
pressure
○ Exceptional organizational, communication and multitasking skills
○ A strong ability to build cross-functional partnerships and work collaboratively
○ A growth mindset: the desire to learn, grow, and embrace new ideas
○ A solutions-oriented mentality with a data-driven approach
○ Must be US Citizen or green card holder
